Reducing payroll stress – for all businesses

17th November, 2015

Payroll is one of the most crucial parts of running a business. But for many NZ employers, organising it all can be a bit of a struggle – especially when trying to juggle complex government requirements, tricky leave calculations and Kiwisaver.

Regardless of the size or complexity of your business, MYOB Payroll has you covered – and we are committed to making your payroll easier.

Here’s our spotlight on three successful NZ businesses and how we help them pay their staff without breaking a sweat.

Small business: Rush Coffee

In 2006, a love of good coffee inspired Hayden Prujean to start his own business, which quickly became an award-winning boutique coffee roaster.

The company now consists of a family team of three: Hayden, Emma and daughter Betsy. They roast coffee daily from the family home in a large converted garage and service a wide range of cafes and retail outlets across the country. Hayden uses MYOB Essentials with payroll functionality to manage debtors, payroll, all financial reporting and IRD payments.

In just the second year of running the business, Rush Coffee won its first gold medal at the New Zealand Coffee Awards. They have since won three more gold medals, as well as one silver and two bronze.

The company initially used manual accounting and payroll processes, but immediately switched to MYOB online accounting software when they began trading.

“We were using a desktop version of MYOB before upgrading to the online program,” says Betsy. “The cloud-based program is evolving all the time and the updates are very helpful. We use MYOB Essentials for all of our small business needs.”

Betsy says she found MYOB Essentials easy and straightforward. “If I can use it with ease, I’m confident that anyone will be able to master it.”

Medium-sized business: Reliance Transport

Reliance Transport is a family-owned and operated transport company focusing on container haulage within the Auckland, Whangarei and Bay of Plenty regions. The company specialises in wharf cartage, and has grown to encompass a fleet of trucks catering to hundreds of clients.

The business prides itself on operating at the forefront of the New Zealand transport industry, utilising the latest tools and technology to ensure operations run smoothly and efficiently.

With 90+ employees on a range of contracts over three depots, a more complex payroll and HRM system was required to ensure it operates smoothly and efficiently. Reliance uses several MYOB EXO Employer Services modules, including Payroll, to do just that.

MYOB EXO Payroll has had many benefits. Reliance Transport uses several reports, including analysis and deductions, which make it easier to access and calculate accurate leave balances, hours worked and bonuses. Initially, this information was calculated manually using employee time cards. “There has been a huge improvement in time saving since we implemented the software,” says administration manager Kerri Martin.

MYOB EXO Payroll is linked with EXO Time and Attendance, EXO Health and Safety and EXO Employee Information. Linking these modules has made it easier to export reports into Excel and save a considerable amount of time, along with several other benefits.

The management at the firm are fans of MYOB EXO Employer Services as they can easily view and track employee information, as well as health and safety data.

Reliance Transport always upgrades to the newest versions of MYOB EXO to ensure that staff can get the full benefits of the software. The staff take advantage of MYOB’s training facilities and have participated in in-house and course-related tutoring, as well as a site visit from an MYOB consultant to carry out a payroll system Warrant of Fitness, which resulted in cleaning data and suggesting time saving improvements.

Bigger business: Calder Stewart Industries

Calder Stewart started as a two-man operation in 1955 and has grown into a multi-million dollar construction company with 472 staff. With nearly 60 years in business, the New Zealand company has remained committed to strong values, sound practices and positive culture.

When Calder Stewart conducted a review of its payroll system, the company discovered numerous flaws. Bottlenecks in the process caused great frustration. Retrieving key employee information was a real challenge. Accessing accurate business reports also proved to be difficult. Needless to say, the inefficient payroll system was in desperate need of replacement.

Calder Stewart selected MYOB PayGlobal, which not only provided the integrated payroll process the company needed, but also the perfect time and attendance solution. What’s more, the team at Calder Stewart were happy they found a partner with whom they can grow and develop their business. “Right from the very beginning, everyone we dealt with at PayGlobal went above and beyond.” says Denise Cooper, Calder Stewart HR Manager. “They were fantastic, down to earth, practical and extremely thorough in ensuring our specific needs were met.

“Calder Stewart now has streamlined payroll processes, saving the company both time and money.”

Business approvals no longer involve long administration times, and folding and posting pay slips are a thing of the past. These positive changes increased productivity because employees were now free to work on other HR projects. What’s more, it was quick and easy to correct any payroll errors, lessening the impact on employees and providing managers with accurate reporting.
