Growing business outgrows existing systems

After significant growth, Titan Recruitment, a specialist engineering and technology recruitment consultancy, had outgrown their existing financial and payroll software. So, they turned to MYOB Acumatica to power their next wave of growth.

In the process, they eliminated days of manual work per month, gained real-time business insights and created valuable business improvements.

"We need to grow, and so we need a financial management system that can match our needs, by adding API integrations and more customisation,” explains Brad Gaglia, Accountant and Project Implementation Lead at Titan Recruitment.

Taking the next step

Since 1999, Titan Recruitment has specialised in sourcing exceptional engineering and technical professional candidates. That long history has recently translated into impressive growth, with more on the horizon.

For a long time, Titan’s finance department had relied on MYOB AccountRight. Brad says the small-business accounting platform was robust and simple, but Titan had outgrown it.

Not designed for companies of Titan’s size and complexity, MYOB AccountRight had reached its limits. Titan’s growing payroll transactions had outstripped its payroll processing capabilities. The software also couldn’t deliver the automation and fast, robust reporting and business intelligence they needed to keep their competitive edge.

Titan was ready for a full-scale ERP platform, and MYOB Acumatica was the preferred choice.

Manual processes create blind spots, waste time

While MYOB AccountRight had served Titan well, the organisation’s rapid growth meant they needed more detailed, real-time reporting. Titan also managed customer data in a separate CRM platform — one that couldn’t be integrated with MYOB AccountRight.

“The prior finance system gave no visibility between it and the CRM – we couldn’t see how much was left in a purchase order, for example,” explains Brad.

“That’s all automated now including payroll integration.”

MYOB Acumatica – the right fit

Titan did consider other platforms. Xero, QuickBooks and Microsoft’s Dynamics 365 Business Central, which didn’t meet all their needs. Conversely, larger ERPs were too unwieldy and expensive for Titan’s needs.

Comprehensive features, seamless integrations

MYOB Acumatica’s comprehensive native functionality impressed Titan, but the API sold them — it meant the software would seamlessly connect the company’s other software, including a new BI tool.

This integration would make reports instant, comprehensive and more flexible, allowing his team to dive deeper into the data.

ANZ-focused support

Because MYOB is based across Australia and New Zealand, the Titan team knew they’d have access to on-the-ground support. MYOB’s local focus meant Brad could also trust that the platform would align with the Australia’s payroll requirements.

MYOB’s knowledge of the legislative changes to the Superannuation contribution and thresholds–which was adjusted within the software – was huge for us. It’s been a big time-saver.

Faster payroll, more time for value-add tasks

Before MYOB Acumatica, payroll processing would span three days, as staff chased timesheets, prepared the reports, got them into accounting, and uploaded the bank files. Those timelines look a lot different now.

“By 2pm Tuesday, payroll is finished – a full day earlier,” exclaims Brad.

Brad calculates that this payroll process improvement has created $43,240 in efficiency savings over a period of around three years. Perhaps more importantly, it also unlocked up to two days of support staff time, which can now be redeployed to benefit the wider team.

“Now we have added one to two days of admin support every week, so we can do more or add value to other areas,” he estimates.

Brad expected big things from MYOB Acumatica’s employee self-service functionality — and it more than delivered.

The staff love the app — they’re on it every day. And the projecting leave balance feature is so good.

The MYOB Acumatica platform makes it simple for employees to answer their own questions rather than contacting Brad.

“It makes my life so much easier. Dealing with employee requests used to take several hours over the course of any month” says Brad.

Faster reports, support for management

Integrated with Titan’s other tools, MYOB Acumatica lets Brad easily run reports and drill down into the data so he can offer better advice to the rest of the business.

Titan’s financial controller, Kendrick Tiet says end-of-month reporting is now more automated, meaning Brad can be deployed on more valuable tasks.

“On top of his normal duties, he’s now assisting with preparing our management reports,” says Kendrick.

Additional benefits delivered by automation

Upgrading to MYOB Acumatica came with further benefits Brad wasn’t expecting — small features that have had a considerable impact on his day-to-day work.

He points to Single Touch Payroll (STP) reporting and general ledger journals as two examples — he didn’t expect them to be as highly automated.
