Giving users access to client files

You may need to give an MYOB Practice user access to an MYOB AccountRight, MYOB Essentials or MYOB Business client file so the user can work on the file. You can either:

  • Choose a file and give one or more users access to it - Useful if you have a new file and you want multiple users to work on it.

  • Choose a user and give them one or more files to access - Useful if you have a new user and you want them to work on multiple files.

Users with the Manage File Access permission can access all files

In MYOB Practice, a user with the Manage File Access permission can see all client files in the Manage file access settings and can give any user access to the file, including files belonging to restricted clients.

Practice administrators can also see all client files, including files belonging to restricted clients.

Choose a file and manage its user access

Before you begin, make sure:

  1. On the left of MYOB Practice, click Settings (the cog) and choose Manage file access. You'll see all the files that your client owns and has invited a user from your practice to, or that your practice owns.

  2. Click the file you want to give users access to. You can quickly select all users by clicking Select all above the list.

  3. Click Manage access, select the users you want to access the file and click Save. It might take a few minutes for the user to see the file on their end, and they might need to refresh their browser page.

    If you see a greyed-out user, it means they either are the file owner or accepted a client's invitation to access the file as an advisor. The user's greyed out so that the client's invitation can't be removed through MYOB Practice without consulting the client. If required, the client would need to remove access through MYOB Business.

Choose a user and manage their file access

Before you begin, make sure:

  1. On the left of MYOB Practice, click Settings (the cog) and choose Users.

  2. Click the user you want to give file access to.

  3. In the File access section, click the arrow.

  4. Click Edit (the pen icon). You'll see all the files that your client owns and has invited a user from your practice to, or that your practice owns.

  5. Select the files you want the user to access and click Save.

    You can quickly select all users by selecting the checkbox next to the Users column header.

Other ways users can get access to a client file

Once a client has invited a user from your practice to the file, if more users need file access, it's best to give the access through MYOB Practice as described on this page rather than have the client continue inviting more users to the file. Giving file access through MYOB Practice lets you also remove file access through MYOB Practice. If a client invites a user and they later need to be removed because the user left your practice for example, only the client can remove the user's file access.

If a client invites a user, the user has Administrator access to the file. Alternatively, if the Practice administrator gives the user file access in MYOB Practice, the user has File user access.
